Enterprise Data Systems, Business Applications

Enterprise data systems store records pertaining to human resources, student academics, and financial tracking. Business applications are tools designed to assist University employees in their business and administrative functions.

Enterprise Password

The Enterprise password is typically used by University faculty, staff, and students working for University departments to log in to enterprise systems like Financial FormsNirvana (FFN), PeopleSoft, Enterprise Document Mangement System (EDMS), and some of the databases for the Electronic Grants Management System (EGMS). Most students will NOT need this second password. The Enterprise password is used in addition to the Internet password; it does not replace the Internet password.

The Enterprise password expires exactly 100 days after it is set, whether you use it or not. For example, if you reset your Enterprise password on July 5, 2006 at 09:57:13, then it will expire on October 13, 2006 at 09:57:13.

To reset your Enterprise password, go to www.umn.edu/myaccount and log in with your Internet ID and Internet password. NOTE: Expired Enterprise passwords will not allow you to log in to the Internet Account Options page where you can change your Enterprise password.

Access Request Form (ARF)

As a member of the University community, you will automatically have access to a great deal of public information via the Web, using your Internet ID and password. If your job requires access to certain systems holding non-public data], you will need to submit an Access Request Form.

To maintain appropriate access to enterprise systems, please remember to report changes in employment status, and also follow our tips for keeping your access active.

Training

Knowing how to use a system is essintial. For some systems, like PeopleSoft, training is required before you are granted access to the system. Training is recommended for other systems, such as Data Warehouse. Training information provided by OIT Data Security is a good place to start. The following list links to specialized training programs.

For other computer and technology training, please visit the University Technology Training Center Web site.

Reporting Tools

Reporting tools allow you to easily obtain meaningful data sets from enterprise systems.

Electronic Document Imaging

Electronic document imaging, organization, and management are provided through ImageNow. University departments and colleges may request help with needs assessment, hardware and software configuration, deployment and installation, and system training and support.

Monitor Availability of Systems

Enterprise systems occasionally undergo routine maintenance to optimize performance and security. Very rarely, a system may experience a brief outage due to unplanned circumstances. You can monitor these changes on the System Status Page.

Administration and Business Management

Developing new enterprise applications

We develop enterprise-wide applications that benefit the University community. Examples include the One Stop self-service Web site for course registration and billing, and the Community Fund Drive. Our developers perform rigorous testing and thorough usability evaluation before deploying a product to the end user.

Project management

We provide project management services for both software and infrastructure projects. Project management services for software projects are offered to University colleges and departments to identify project needs and promote project methodology for a project life cycle. This is a formalized approach to managing large-scale projects. The goal is to leverage and improve best practices in project management, thereby increasing productivity, reducing cycle time, and ensuring quality in applications.

Management tracking system

University Initiative Tracking Tool (UITT) is a management system that enables you to digitize the decision-making process, thus ensuring compliance with regulations and best practices. Some of the components delivered with this software are: Portfolio Management, Project Management, Time Management, Resource Management, Financial Management, and Deployment Management.
